Before the Live Webinar

How do I register for a webinar?

Click on the webinar title that you are interested in, read the registration requirements, and fill out the form to complete registration. A landing page will load that contains a form that once filled out and submitted, will register you for the webinar selected. A confirmation email will be sent to you by our webinar partner, GoToWebcast. Please note: Ascentis is only able to accept emails that use business domains.

What time does the webinar begin?

Live webinar start times are noted on every email invitation and registration page expressed as U.S. pacific time zone. If you are not in one of these time zones, you must convert those times to your specific time zone as your webinar start time.

I’ve registered for a live webinar, why haven’t I received a confirmation email?

There are a few reasons why you may not have received your confirmation email. In order to ensure delivery, please make sure you have done the following:

  1. Ensure the email address you registered with is spelled correctly.
  2. Check your “junk” or “spam” folder.
  3. Be sure to whitelist the domains “@webcasts.com”, “@citrixonline.com” and “@ascentis.com”.
  4. Confirmation emails can take 1-24 hours to be delivered, so register as early as possible. Registration for a webinar up to an hour before its start time may delay your confirmation email receipt until after the webinar has already begun. If you need to register for a webinar close to its start time, please email webinars@ascentis.com to confirm your registration, and to ask for secondary access to the webinar (aside from the confirmation email).

If you have completed all of these steps, but you have not received your confirmation email with 24 hours of registration, please email webinars@ascentis.com for assistance.

Why can’t I log in to the live webinar?

Our webinar platform provider, GoToWebcast, has specific system requirements for anyone attempting to join a live webinar. When you register for one of our live webinars, your confirmation email (sent from GoToWebcast) sends you a unique webinar link and call-in number, and also outlines all system requirements. If you are new to our webinar program, we highly recommend making sure that your system is GoToWebcast-ready and your system meets GoToWebcast’s requirements well before the live webinar program begins.

Should you experience any problems connecting to the webinar, please visit the GoToWebcast support page for assistance. Your company IT or systems administration department should be able to provide additional support. Ascentis cannot support or correct connectivity issues with the GoToWebcast platform.

How do I earn continuing education credit for a live webinar?

HRCI, SHRM, and the APA (our accrediting agencies) have specific guidelines for offering RCHs (re-certification credit hours) accreditation for webinars, and as such, require us to track your unique online attendance.

For those webinars for which Ascentis offers continuing education credits, in order to earn credit for attending a live webinar, you must register for the webinar using a business-domain name email. When you receive your GoToWebcast confirmation email, it will contain a unique link to log in to the webinar. You must use that link to launch the live webinar because we track online attendance through these unique webinar links.

Once the webinar begins, you must attend the entire 60-minute webinar from start to finish, without fast-forwarding or logging off of the webinar regardless of reason. Please note that your online attendance is tracked solely through this unique URL that launches the live presentation on your viewing screen. Attendance is not tracked through the use of the call-in line.

If my GoToWebcast connection breaks during the live webinar, will I still earn continuing education credits?

For those webinars for which we offer continuing education credit, we are bound by our accrediting agencies’ requirements for online attendance, which stipulate that you attend the entire 60-minute webinar from start to finish, without fast-forwarding or logging out regardless of the reason.

There are many technological factors in attending a live presentation, including your computer’s hardware, software and Internet connection. Due to the nature of online webinars through GoToWebcast, even if you have logged off accidentally, lost power, have Internet connection loss or bandwidth issues, GoToWebcast will note your attendance as having ended the moment your unique link is broken. If this happens, we will unfortunately not be able to provide you with RCH credit for attending whatever portion of the live webinar you have attended.

You may choose to re-watch the webinar from our on-demand webinars directory, once it’s posted there (it can take 2-3 days after live webinar completion for the on-demand version to appear). Our on-demand webinars are available for RCH certification as well.

My colleagues and I wish to watch your live presentation as a group. Will I earn credit?

We appreciate that so many people wish to be educated through our free educational webinar program and we understand that many companies have departments that enjoy learning together. However, due to the requirements of our accrediting agencies, it is required that each individual learner register for and attend our webinars individually. If you plan to watch as a group regardless of this credit requirement, only the person who has registered for and logged in to the webinar session will earn credit for attending if they meet the time minimum (60 minutes).

If your team wants to earn continuing education credits and watch the webinar as a group, we recommend that each person register for and watch the live presentation individually (so they can earn credit) and then the group can re-watch the on-demand version of the presentation together. This provides the opportunity to discuss processes and best practices with your colleagues and determine what will work best for your organization moving forward. We have found most organizations following this recommendation have experienced a higher quality learning environment.

I want my colleagues to attend the live webinar that I have registered for. Can I send them my confirmation email?

Your webinar confirmation email is unique to you and your registration data, and cannot and should not be shared with anyone else. If you wish to share webinar invitations with a colleague, simply forward them the email invitation you received from Ascentis OR send them a link to the registration page. That way when they register, they will receive their own unique webinar confirmation email.

After the Live Webinar

If I missed the webinar, will I be able to view it at another time?

Yes. All of our webinars will be available on our on-demand directory (payroll or HR) within 24-48 hours of its live presentation date. Our webinars all live in our on-demand directory until the end of the calendar year.

How will I know if I earned a certificate for a RCH?

If you registered for, and attended, any of our webinars that offer continuing education credit using the unique identifying URL sent in your webinar confirmation, then you will have earned the credit.
We do not send email notifications indicating the amount of time an individual spends viewing a specific webinar. Once the program is approved, emails containing program codes are sent to those attendees who have met attendance requirements approximately 30 calendar days after the date of the live webinar.

When will I receive my RCH certificate?

Once a live webinar is approved by the accrediting agency, and you have met certification requirements, certificates will be sent to the email address used at registration approximately 30 days following the original broadcast date.

30 days have passed, why have I not received a program code for a live webinar I attended?

If you believe you met our certification requirements, and 30 days have passed, please check your junk or spam folder as it may be caught in these email filters. Please be sure to whitelist “@ascentis.com” to ensure email deliverability.
If you cannot locate your previously earned program codes, please email webinars@ascentis.com for assistance.

On-demand Webinars

How do I register for a webinar?

Click on the webinar title that you are interested in; either Free HR webinars or Free Payroll webinars. A landing page will load that contains a form that once filled out and submitted, will register you for the webinar selected. A confirmation email will be sent to the email address provided in the form. Ascentis is only able to accept emails that use business domains.

Where can I watch on-demand webinars?

All on-demand webinars are placed on our on-demand directory (Payroll webinars or HR webinars) within 48 hours of the live presentation. To view the recorded presentation, fill out the form of your selected session to launch the recording.

I am watching an on-demand webinar and when I click on the play button, I only see a blank screen. Can you help?

Try viewing the webpage in different browsers (ie: Chrome or Firefox). If you continue to have difficulty, contact your IT or systems administrator for assistance.

How do I earn APA or SHRM/HRCI credit for viewing an on-demand webinar?

Any of our on-demand webinars are eligible for earned certification and program codes until the end of the month following the date of the live presentation. For example, if a live webinar is hosted on September 9, the on-demand webinar will be eligible for certification when viewed on or before October 31. Earned program codes and certifications will be distributed via email for each on-demand session once per month, at the end of the certified term.

For an APA certified on-demand webinar, we require that you take a Canvas quiz (the link will be provided after viewing the webinar) and receive a score of 80% or higher to obtain credit. This is in addition to watching the webinar. If you are experiencing issues with Canvas, please view the link to Canvas support: Canvas Community Support or Canvas Help. Here you can also select “help” > “report a problem” on the main login screen to submit a ticket to get in touch with a support representative.

I viewed an on-demand webinar in August that was originally live in February. Will I still earn certifications for this on-demand?

No. We issue certification credits on-demand one month after the month the webinar became available on-demand. For example, if a live webinar is hosted on February 9, the on-demand webinar will be eligible for certification when viewed on or before March 31.

Additional Questions

I’m trying to register with my public Web-based domain email address, but the form won’t allow it. Why?

At this time, we do not allow public Web-based domain email addresses (i.e., Gmail, Hotmail, Yahoo, Comcast, SBCglobal, etc.) to register for our free educational webinars. These types of addresses are frequently associated with spambots or other problematic sources that create data management problems and unfairly reserve webinar seats that won’t be utilized.

If you do not have a business-domain email address, please ask a friend, family member or colleague to allow you to register yourself using their business-domain email address (and your name and other required information) and forward to you any webinar confirmations and earned certificates. Once you have a business-domain email address, you can give us your updated information and we’ll send your future webinar invitations to that email address.

I would like to have my program codes emailed to an address I did not use when I registered for the webinar(s). How should I request that?

If you would like your earned program codes sent to an email address that is different from the one you registered with, please email webinars@ascentis.com and we will resend the email to your new email address, once we approve your attendance.

Are all Ascentis webinars APA, HRCI-approved, and/or SHRM-approved submitted for credit?

It is our goal to offer our webinar audience as many opportunities as possible to earn their much-needed credits without any cost incurred. However, not all our webinars will be submitted for continuing education credit(s).

For those webinars that are available for credit, it will be submitted to either the APA or HRCI & SHRM. We are very careful to note on every live webinar invitation, registration page, and on-demand webinar registration page, which accrediting agency the program has been approved by (or submitted to), if any.

I attended an HRCI/SHRM submitted or approved-for-credit webinar. May I earn APA credit for that, too?

All Ascentis educational webinars are submitted for credit based on their specific educational content. If you have taken an SHRM/HRCI-approved webinar and feel that the educational content should qualify for APA credit, you must contact the APA directly to request their review. To do so, the APA requires that you provide them with a PDF of the slides that accompany the webinar you attended (found in the on-demand directory(payroll or HR)) and submit your request to providers@americanpayroll.org. The APA will determine if the educational content meets their accreditation requirements.

Once approved, they will provide you with instructions on next steps for noting their approval for this webinar during your recertification paperwork submittal process. The APA will not provide Ascentis with a program code for your unique approval for this webinar and therefore we cannot provide you with an APA approved certificate. Your digital communication from the APA will be your documentation.

I attended an APA submitted or approved-for-credit webinar. May I earn HRCI credit for that, too?

All Ascentis educational webinars are submitted for credit based on their specific educational content. If you have taken an APA-approved webinar and feel that the educational content should qualify for HRCI credit, you must contact HRCI directly to request their review. To do so, HRCI requires that you provide them with the following: a PDF of the slides that accompany the webinar you attended (found in the on-demand directory(payroll or HR)) and the bio of the presenter (also found on the on-demand directory). You must then submit your request to recertification@hrci.org. HRCI will determine if the educational content meets their accreditation requirements.

Once approved, they will provide you with instructions on next steps in noting their approval for this webinar during your recertification paperwork submittal process. HRCI will not provide Ascentis with a program code for your unique approval for this webinar and therefore we cannot provide you with an HRCI approved certificate. Your digital communication from HRCI will be your documentation.

I’ve changed companies and I have a new email address, but I am still waiting on program codes I haven’t received yet. What do I do?

Please send an email to webinars@ascentis.com, tell us which webinars you took, and what your new employer information is, and we can update your records, and resend the emails containing program codes you have earned, once we confirm your attendance.

I attended a live webinar (or viewed an on-demand presentation) within the last 30 days, but I am no longer with the company I worked for when I registered. Can you send my program codes to my personal email address?

We can forward your program codes to another business email until you have a new business-domain name-based email. While you are between employers you can continue earning credits by using a colleague, friend or family member’s business domain-based email address (with their permission) until you have a new email address.

I’d like to sign up my boss/colleague to receive your invitations. How do I do that?

Just register your boss for an upcoming live webinar using their name and email address OR register them to receive the Ascentis monthly newsletter (on bottom of the page). Either of these will automatically include him/her on all future webinar email invitations.
