Prior to using Ascentis HR, Kintera had been manually managing benefits through a paper-based open enrollment process. Employees were required to fill out multiple forms, and the data was entered into carrier Web sites by Kintera’s benefit administrators. This manual process resulted in frequent and costly mistakes because of the sheer volume of paperwork and input required.
Kintera decided to implement Ascentis HR to address these and other issues such as accurate reporting, a seamless payroll connection, and tracking and storing data. In addition, Kintera purchased Ascentis’ electronic Carrier Connect service to eliminate the need to send physical forms to their carriers. This enabled Kintera’s HR staff to launch a truly paperless open enrollment process.
As a result, Ascentis HR has completely eliminated the need for Kintera to use enrollment forms for new hires and open enrollment. Employees can now enroll for their benefits online using Ascentis Employee Self-Service and their elections are electronically sent to their carriers. Kintera’s HR staff no longer manually enters information on their carrier Web sites. Trish Templeton, Kintera’s Sr. HR Manager said, “We know the data entered into Ascentis HR matches the carrier Web sites exactly. In addition, we are able to reconcile our benefit data from our payroll program, ADP® PC Payroll for Windows®. With the data entered into the benefits system, we eradicated several errors made in the past. Now, all data in our systems match 100%. We save approximately one hour of work per employee using Carrier Connect versus our old paper enrollment and manual data entry process.”
